You can feel it in the air, the warmth of the sun, the bloom of flowers. The upcoming Spring season often motivates us to ‘spring clean’ and freshen our office or office space.
After long and hectic working days, cleaning your office is probably not at the top of your to-do list. However, the growing clutter and disorganisation can slow you down, trying to find a certain document, for example. I encourage you to take some time out to complete these easy steps to a Spring clean and I guarantee it will boost your outlook and productivity.
1. Schedule your Spring clean in advance
Set aside a couple of hours to do this properly without interruptions and to avoid you making excuses or procrastinating. Book it in your diary.
2. Clean the OUTSIDE of your computer
Wipe down the computer and monitor using a soft cloth and recommended cleaner. We're all guilty of eating at our desk, so remove grime and crumbs from your keyboard and mouse with a cotton bud. Don't forget the area around, under and behind your equipment where dust gathers.
3. Clean the INSIDE of your computer
Sift through emails and delete unneeded files, or file them in relevant folders. Review documents, photos, and files on your desktop. If you haven't used or looked at them in a year consider whether you really need them on your desktop. Delete them or re-file.
4. Recycle or Donate
If in doubt, throw it out! If you haven’t used some old shelving, office chair sitting in the corner etc., for the last two years, give some serious thought as to whether you will ever use it again...and if the answer is no, sell it or donate it to charity.
5. Get organised
Start with your filing system. While we each have our own way of organising our desk and our office and business processes like incoming requests, current projects and files etc., in general it is helpful to set up a system that includes the following:
I also have separate suspension files for each client to keep anything I am working on in there.
As you are doing this, create a recycling pile of papers and a shredding pile. Shred any confidential documents/paperwork that are no longer required.
6. Tidy up the PinBoard
Use this time to take off the layers of paper you have pinned to your pinboard, e.g. tickets to events that have passed, old reminders etc.
7. Pick or buy some flowers
What better way to celebrate Spring than with a bunch of fresh flowers! Reward yourself for your Spring cleaning effort as well as adding some colour to your office. Buy some flowers and put them in a vase and place on your desk – safely away from electricals of course!
